What to do differently
Every time a box of PPE arrives at our loading dock, I watch how the warehouse team opens it. They go straight for the product. I go for the paperwork first. That difference has saved us more times than I can count.
I'm a quality and compliance manager at a PPE distributor. I review every inbound batch before it reaches customers—roughly 200 unique SKUs and about 50,000 units a year. In Q1 2024, I rejected 8% of first deliveries due to spec mismatches. Some were minor. Some were scary. This checklist covers the gear I get asked about most: DuPont Tyvek 400 coveralls, leather gloves, and earplugs. It has six steps, and it works best when you use it before the supplier leaves the dock.
Step 1: Verify the spec before you open the carton
Pull the purchase order and the carton label. Check the model number, size range, and lot number. This sounds boring, but it's where the biggest gaps hide.
For example, if your PO says the product should be a DuPont Tyvek 400 coverall, don't accept a lookalike. The model number on the carton should match the model number on the garment's neck label. I've seen 'equivalent' products that looked almost identical from across the room. It happened three times last year. The product looked similar, but the paperwork told a different story—the material was a cheaper alternative without the same particle barrier performance.
- Confirm the exact model code on every carton.
- Check the lot number on the case and the label. Split lots? Inspect each part separately.
- If the supplier labels a pallet as one lot, spot-check cartons from different layers.
Most buyers skip the lot number check. That's the one that has caused me to write the most vendor nonconformance reports. A mixed lot can mean two different production runs, and one run can fail while the other is fine.
Step 2: Do the DuPont manual logo check
Take one coverall and lay it flat on the table. Look at the chest print. I call this the DuPont manual logo check, because you are manually comparing the logo against the expected print quality. This step rarely appears on standard QC sheets, but customers notice it immediately.
On a genuine DuPont Tyvek 400 coverall, the DuPont oval logo should be clean, legible, and consistent. Letter spacing should be even, and the logo should not look stretched or fuzzy. When a print is bad—or the garment is unauthorized—the logo is usually the first giveaway. The fabric can look identical from a distance. The logo won't.
Why care? Because that logo is what your customer sees on an employee's chest. If it looks cheap, the customer will assume the protection is cheap too. That perception is part of the product. I once rejected 4,000 coveralls because the logo spacing was wrong. The supplier called me picky. Two months later, that same item was pulled from another buyer's line because the material didn't match the certification. The logo issue was the first clue.
Step 3: Check seams, zipper, and welds before you count the cartons
Tyvek 400 coveralls rely on seam construction. A seam can fail—or rather, it can already be failing—without the material itself tearing. Run your fingers along every taped seam. Flip the garment inside out and hold it up to a bright light. Pinholes show up immediately. A pinhole sounds small. It's enough for dust and light liquid splash to get through.
Also check the zipper. It should slide smoothly and the storm flap should lie flat. If the seam tape isn't centered, or the zipper catches at the midpoint, mark the whole box as suspect.
Use a simple sampling plan: five units per lot. If one fails, open 50% of the lot. If you find defects in half of those, reject the lot.
I only started doing the light test after I ignored it once. In 2022, we accepted 2,000 coveralls without the light test because we were behind schedule. The customer found a series of pinholes along one shoulder during the first use. It ruined two days of painting work, and we had to reissue 800 units. That cost us a $22,000 credit plus freight. Now every contract includes a light-test requirement.
Step 4: Leather gloves: check fit, leather, and stitching
Leather gloves need a different eye. Press the palm. The leather should feel firm, not papery. Look at the stitching along the index finger and thumb. Loose threads aren't just cosmetic; they're weak points.
Where leather gloves women really differ is sizing, not just a smaller tag. Many unisex gloves are built on men's hand molds, and they can be too long in the fingers and too wide at the palm for many women. If you order leather gloves women, ask for the size chart with palm width and finger length. Better, get fit samples before a large run.
If a pair is close but snug, you don't need to reorder. Here is how to stretch leather gloves: lightly dampen the outside, put them on, and wear them until they dry. The leather will ease and conform. But do this only if the seams are intact. Stretching a glove with a tear just makes the tear longer.
Step 5: Earplugs: NRR beats the packaging
When someone searches 'earplugs near me,' they often get convenience store options, not industrial safety supply. That's a problem because earplugs are not all the same. The key number is the noise reduction rating, or NRR. Most workplace foam earplugs I see carry an NRR of 32 or 33, while certain convenience store packs are rated 29. The right choice depends on your noise exposure, not whichever box is at the register.
Check the foam too. Squeeze each pair. Good foam expands slowly and rebounds evenly. Poor foam feels stiff and crumbles after a few uses. I've rejected earplugs that looked like they were made from recycled packing foam. The package looked fine. The product didn't.
Step 6: Paperwork: certificates, lot traceability, and regulatory check
In the U.S., OSHA's PPE standard (29 CFR 1910.132) requires employers to assess hazards and ensure the equipment used is adequate. It does not tell you how to inspect incoming goods. That's where your own process has to step in.
I require a certificate of compliance for each lot. The certificate must list the exact model number, lot number, and quantity. If it doesn't, the lot is nonconforming. This sounds obvious, but I've received certificates for the wrong size, the wrong model, and one time, the wrong supplier.
We also keep one physical sample from every lot in a labeled plastic bag. If a customer calls three months later with a problem, I can pull that sample instead of arguing. That one habit has resolved more disputes than any return policy.
What to do differently
Here are the mistakes I still see from otherwise sharp buyers:
- Inspecting after the supplier leaves. Inspect at the dock, or before payment.
- Trusting the carton. The carton can be perfect while the inner packaging is ripped. Open one.
- Mixing lot numbers without segregating. Different lots should be stored and inspected separately.
- Stretching leather gloves before checking seams. It's a fit fix, not a damage fix.
- Buying hearing protection based on the nearest search result. 'Earplugs near me' is fine for a one-off flight; it's not a hearing conservation plan.
One caveat: my experience is based on about 200 SKUs a year, mostly mid-size orders from North American and Asian suppliers. If you're buying one-off items from an online marketplace, your risk profile is different. Move the paperwork step earlier, because you won't have the same leverage after the money moves.
Quality inspection isn't about being obsessive. It's about deciding whether the item fits the promise on the outside. The customer may never know about ultrasonic weld lines or NRR. But they will know when a logo looks off, a glove fits poorly, or an earplug hurts. That's the brand. And every box you inspect is a chance to protect it.
